Your Role: Master of Patient Scheduling & Organization
We are seeking a highly organized Receptionist & Scheduler to manage the heartbeat of our clinic—our calendar. In this role, you will be the primary architect of our daily schedule, requiring a professional who combines a deep sense of ownership with a proactive, puzzle-solving mindset. You will ensure that patients are booked efficiently, cancellations are quickly backfilled, and our clinical providers are organized for a smooth, productive day in a fast-paced, digitally-driven healthcare environment.
Key Responsibilities
Patient Scheduling & Calendar Management
- End-to-End Scheduling: Manage comprehensive appointment logistics for new and established patients, including booking, rescheduling, and processing cancellations with accuracy and speed.
- Schedule Optimization: Actively monitor and manipulate the clinic’s schedule within our Electronic Medical Records (EMR) system to eliminate gaps, maximize provider utilization, and maintain seamless clinic flow.
- Waitlist & Follow-up Coordination: Proactively manage patient waitlists and recall lists to fill last-minute openings and ensure patients receive timely care.
- Communication: Skillfully handle high-volume inbound and outbound communications (calls, texts, emails) specifically focused on coordinating appointments, sending reminders, and securing confirmations.
Organizational & Workflow Logistics
- Referral & Queue Organization: Systematically process inbound referrals and manage operational work queues, ensuring patients progress smoothly from referral to scheduled appointment.
- Appointment Preparation: Organize and verify that all necessary patient documentation (medical records, consents, intake forms) is complete, accurate, and attached to the digital chart prior to the scheduled visit.
- Financial Organization: Clearly communicate appointment-related services and charges to patients, ensuring payments are reliably organized and collected before their time slot.
- Data Integrity: Maintain impeccably organized digital patient records with strict attention to detail and full HIPAA compliance.
The Ideal Candidate Profile
- Exceptional Organizational Skills: You possess an outstanding ability to manage a complex, high-volume calendar, track minute details, and keep a dynamic clinic running precisely on time.
- Experience & Education: A minimum of 1 year of experience in scheduling, medical reception, or a highly organized administrative role is required. A Bachelor’s Degree (or equivalent professional experience in a relevant healthcare setting) is preferred.
- Tech-Savvy & Resourceful: Highly proficient in navigating EMR systems, scheduling platforms, and digital communication tools. You thrive in a paperless environment and learn new software intuitively.
- Accountability & Reliability: You take ownership, demonstrate strong initiative, and consistently follow through on all commitments, understanding how a well-organized schedule impacts patient health and provider success.
- Patient-First Mindset: You approach every scheduling interaction with empathy and patience, acting as a natural problem-solver who advocates for patient needs while maintaining necessary operational boundaries.
Remote Work Environment & Expectations
- Location: Applicants reside within the Mountain Standard Time Zone (MST). Residency in Colorado is preferred.
- Digital Presence: Must be punctual, actively engaged, and available on-camera (when necessary for team meetings/collaboration) during scheduled hours to provide real-time support.
- Dedicated Workspace: Must maintain a private, quiet, and strict HIPAA-compliant workspace free from interruptions.
- Technical Foundation: Must secure and maintain a reliable, high-speed broadband internet connection.
- Work Authorization: Must have unrestricted work authorization in the U.S.
- Asset: Bilingual proficiency (English/Spanish or other languages) is a plus.

Pay: $19.00 - $21.00 per hour
